Wodex is operated by Reasoner, LLC, a U.S. limited liability company ("we", "us", "our"). This Privacy Policy applies to the Wodex website, admin console, desktop client, enterprise gateway, managed model credits, team workspaces, technical support, and related services.
Wodex is a company-controlled AI Agent workstation: the company centrally configures models, gateways, API keys, credits, billing, and audit; employees use ChatGPT-class Agents and related tools through the client.
We collect only the data necessary to provide services, process billing, maintain security, provide support, meet compliance obligations, and improve the product. Do not input sensitive information into Wodex that you are not authorized to process, that you are not allowed to send to model providers, or that is unsuitable for AI tools.
Information we collect
- Account and contact information: email address, sign-in records, workspace membership, roles, invitation status, admin information, device binding status, and support communication content.
- Subscription and billing information: plan, credits, top-ups, invoices, payment status, refunds, billing management records, transaction serial numbers, and necessary tax/reconciliation information. Sensitive payment information such as full card numbers is generally processed by payment service providers; Wodex does not store full card numbers.
- Product usage and diagnostic information: client version, operating system, browser, device type, sign-in status, feature flags, request timestamps, error logs, performance metrics, credit consumption, model call costs, response status codes, and necessary diagnostic information.
- Team management and audit information: member joins and removals, role changes, credit changes, configuration deployments, gateway usage, admin operations, security events, and compliance audit records. We try to avoid storing unnecessary plaintext sensitive content in audit records.
- Model request-related information: when you use managed models, enterprise gateways, Agent tools, or team workspaces, Wodex may need to process prompts, context, code snippets, file fragments, model responses, tool-call metadata, request outcomes, and failure reasons to complete forwarding, billing, troubleshooting, security control, and audit.
- Configuration, keys, and model-source information: when you use hosted gateways, bring-your-own keys, enterprise gateways, or local configurations, Wodex may process provider, model name, base URL, quota policy, key status, encrypted key material, or configuration state stored on your device. We process this information only to the extent required to deliver the feature.
- Integration and automation information: when you connect third-party tools, internal systems, CRMs, ERPs, code repositories, document systems, or automation workflows, Wodex may process connection status, authorization scope, sync records, task logs, and necessary business data.
- Website visit and preference information: IP address, pages visited, referrers, language preference, cookies, local storage, basic analytics data, and security risk-control signals.
How we use this information
- Create and maintain your account, workspace, member permissions, and sign-in sessions.
- Provide model gateway, configuration deployment, credit deduction, billing, invoices, subscriptions, and top-up capabilities.
- Prevent abuse, troubleshoot errors, and ensure service stability, security, and availability.
- Send sign-in emails, product notifications, billing notices, security alerts, and support replies.
- Generate aggregated or de-identified statistics to understand service quality, cost structure, and product usage.
- Retain and use necessary records when required by law, compliance, dispute resolution, anti-fraud, or security investigations.
- Improve product experience, documentation, stability, cost control, and security strategy without identifying specific individuals or customer content.
Enterprise workspaces and admin visibility
If you are a member of an enterprise workspace, workspace admins may be able to view, configure, or export certain information related to your use of Wodex, such as membership, permissions, model sources, credits, costs, usage, audit records, security events, and admin policies.
Enterprise customers or admins may decide member accounts, access permissions, data retention, log auditing, model providers, tool integrations, and security policies. Data access, deletion, or export requests made by members within an enterprise workspace may need to be handled by the workspace admin.
Unless required by workspace configuration, troubleshooting, security investigation, or support, we will not proactively show admins unnecessary prompts, file content, or plaintext model outputs. However, tools, gateways, logs, or third-party systems configured by admins may have their own visibility scopes.
Model requests, prompts, and outputs
One of Wodex's core capabilities is forwarding employee-side Agent requests to model sources chosen by the enterprise or hosted by Wodex. To do this, we may process your prompts, context, code snippets, file fragments, tool-call information, and model outputs.
Unless you explicitly authorize it, the enterprise workspace has a different configuration, or it is necessary for troubleshooting, security, compliance, or abuse investigation, Wodex will not use your private prompts, code, file content, or model outputs as public marketing material. We do not sell customer content from enterprise workspaces.
Unless otherwise agreed or explicitly authorized by you, we will not use customer content from enterprise workspaces to train general-purpose models offered to the public. Third-party model providers may process request data according to their own terms. When using managed models or external model sources, please confirm that your inputs are suitable to send to the corresponding provider.
AI outputs may contain errors, incomplete information, content similar to others' outputs, or content unsuitable for direct use in production, legal, financial, medical, security, hiring, credit, or other high-risk scenarios. You or your organization should review, test, and judge output results yourself.
Third-party service providers
We use necessary third-party services to operate Wodex, such as cloud hosting, email delivery, payment processing, error diagnostics, data storage, model providers, and infrastructure services. We provide information to these providers only to the extent necessary to deliver our services.
Third-party service providers process data according to their own policies and agreements. Third-party models, cloud platforms, payment, email, analytics, error diagnostics, integration tools, or plug-ins may be located outside your region, and related data may be processed or stored in those regions.
If you or your organization choose to connect third-party services, third-party models, local tools, or external APIs, you should confirm that you have the right to connect those services and understand their permission scope, data handling practices, pricing rules, and security risks.
Cookies and local storage
The Wodex website and admin console may use cookies, local storage, or similar technologies to maintain sign-in state, remember language preferences, ensure security, analyze basic visits, and improve experience.
You can restrict cookies through browser settings, but this may affect sign-in, admin console, or some features.
Cross-border processing
Wodex may process, transfer, or store necessary information outside your region depending on the model sources, cloud services, payment services, email services, integration tools, or technical support methods you choose.
If your organization has data-export, industry-regulatory, customer-confidentiality, code-hosting, or internal compliance requirements, please complete internal approval and configure workspace policies appropriately before using managed models, external model providers, or cross-border cloud services.
Data retention and deletion
- Account, subscription, invoice, payment, and security-related records are retained for as long as necessary to provide services, fulfill contracts, handle disputes, and meet financial or compliance requirements.
- Model request logs, error logs, and audit records are retained according to security, troubleshooting, billing, and enterprise management needs; we try to shorten retention for unnecessary content.
- Configuration, key status, gateway policies, and admin operation records are retained for as long as necessary for service operation, security audit, member management, and dispute handling.
- You can contact us to request export, deletion, or correction of account information. Some records may continue to be retained for a period due to billing, audit, security, legal, or dispute-handling needs.
- Deleting a workspace or account may make member configurations, historical records, credits, invoice access, and service capabilities unrecoverable. Please back up necessary information before doing so.
Your choices and rights
- You can access, update, or delete some account information.
- You can unsubscribe or stop using managed model services.
- You can ask us to explain, export, correct, or delete personal information related to you.
- If you are a member of an enterprise workspace, some requests may need to be handled by the workspace admin or enterprise customer.
Security
We take reasonable technical and administrative measures to protect accounts, keys, gateways, billing, and audit data, including access control, least privilege, encrypted transport, log auditing, key isolation, permission layering, and security alerts.
No internet service, AI model, or third-party integration can promise absolute security. You should also protect your email, devices, sign-in sessions, API keys, admin permissions, third-party authorizations, and internal sensitive data.
Minors
Wodex is intended for businesses, teams, and professional users, and is not directed to minors. Minors should not use Wodex without guardian or school/enterprise authorization.
Policy updates
We may update this policy based on product, legal, compliance, or operational changes. Material changes will be notified through the website, admin console, email, or other reasonable means. Continued use of the service means you accept the updated policy.
